Joining a Team Account
Redeem the license key from your admin so your Wave Pro access is covered by your organization's plan.
If your company buys Wave centrally, your admin gives you a license key. Redeem it once and your account gets Wave Pro paid for by the team — no card, no App Store purchase, and nothing changes about your recordings. You can redeem the key from your phone, the web app, or desktop; it's the same key and you only use it once.
Before you start
- Sign in to Wave first with the account you actually want covered. The key attaches to whichever account is signed in when you redeem it.
- Each key covers one person and can only be used once.
- If you already pay for Wave yourself, cancel that subscription separately — redeeming a key doesn't refund or stop an existing charge. See managing your subscription.
Redeem your key
Wave Pro turns on immediately. Check it under Plan & Usage on your phone, or Settings → Billing on the web — your minutes should now read unlimited.
If the key is rejected
Wave tells you exactly which problem it hit:
- Invalid License Key — "The license key you entered was not found. Please check and try again." Usually a typo, a trailing space, or a key from a different vendor. Paste it rather than typing it.
- License Already Used — "This license key has already been used. Please contact your team administrator." Keys are single-use, including by you on an earlier attempt. If you already redeemed it, you're already on the team; check Plan & Usage.
- License Expired — "This license key has expired. Please contact your team administrator." Your admin needs to issue a new one.
Anything else ("Failed to activate license key", or a system error) is worth retrying once, then raising with your admin.
Your Pro access runs to the end of your organization's billing period. If the team plan lapses and isn't renewed, your account drops back to the free tier — nothing is deleted. See Wave plans and pricing.
Team account vs. family plan
They solve different problems and don't overlap.
| Team account | Family plan | |
|---|---|---|
| Who it's for | Coworkers, billed by your organization | Your household |
| How you join | A license key from your admin | Apple Family Sharing |
| Where it works | iPhone, Android, web, desktop | App Store purchases only |
| Who pays | Your company | The family member who bought it |
If you're setting up family rather than work, see family plan usage.
Getting a team plan
Wave Pro on a team plan is the same product with the same features — your recordings, folders, and chats stay private to your own account. Only billing is centralized. If your company doesn't have a plan yet, details are at teams.wave.co.
